Paul Stasik Visuals — Collaboration Terms

Introduction

This document was created to ensure a smooth, transparent, and enjoyable collaboration process for both sides.
It defines how projects are booked, produced, and delivered — so that creative energy can stay focused on achieving the best possible visual results.

These terms are designed to protect both parties’ time, resources, and expectations, ensuring every project runs efficiently and respectfully — with clear structure, predictable timelines, and consistent quality.

1. Payments

All projects require a 50% upfront payment to confirm the booking and cover essential business and operational costs — including software, licenses, fixed business expenses, hardware, render time, and pre-production setup.
This guarantees your production slot and ensures full focus on your project from day one.

The remaining 50% is due upon completion, before final high-resolution deliverables are sent.
This way, both sides stay aligned — with full creative freedom during production and clear closure after delivery.

Standard flow:
✅ Project completed → watermarked previews → final payment → final deliverables sent.

For hourly or open-scope work, billing occurs bi-weekly.
For larger productions, payments may be divided into milestones agreed upon before project start, giving clarity and control over progress.

2. Scope & Pricing

Each project is quoted individually, based on:

  • complexity and number of shots
  • animation length and visual fidelity
  • rendering and simulation requirements
  • deadline and delivery timeframe

Providing a budget range upfront helps tailor the creative and technical direction to your goals — ensuring you get the most value, detail, and efficiency within your production scope.
Transparent pricing means no surprises along the way.

3. Booking & Cancellation Fee

Once a project is booked and the initial payment received, a specific time slot is reserved exclusively for your production.
This ensures full availability and commitment throughout the project.

If a project is canceled or postponed by the client, the initial payment is non-refundable, as that time has been secured and other potential projects declined.
If significant work has already been completed or if the cancellation occurs close to the deadline, an additional cancellation or completion fee may apply — typically 25–50% of the remaining balance — to fairly compensate for reserved production capacity.

These measures protect both creative focus and project planning reliability — allowing consistent results and trust on both sides.

4. Feedback & Communication

Timely feedback and approvals are essential for smooth delivery and predictable outcomes.
If feedback or approval is delayed by more than 2 business days from the agreed review date, the final delivery date will shift accordingly.
If delayed for 10+ days, the project may need to be rescheduled, as other commitments might prevent immediate continuation.

In certain cases, when a project has no fixed deadline and is small enough to allow parallel work on other productions, a more flexible feedback schedule can be agreed upon in advance.
Such flexibility is perfectly fine as long as both sides clearly define expectations from the start.

Clear and consolidated feedback keeps the process efficient — helping you get the best possible quality without unnecessary time pressure or bottlenecks.

5. Revisions & Updates

Depending on project size and structure, each production phase (or full project for smaller ones) includes up to two (2) rounds of revisions within the agreed scope — for example:

  • LookDev / Styleframes: lighting, colors, materials, or mood adjustments.

  • Animation / Cameras: timing, pacing, or motion tweaks.

  • Final Render / Compositing: color grading, exposure, or final polish.

Revisions are intended for fine-tuning and alignment, ensuring the final product fully reflects your vision.
Major creative or structural changes (e.g., new camera setups, product redesigns, or extended shots) can be added at any time as new milestones, keeping the workflow organized and transparent.

6. Rush & Weekend Work

Projects requiring tight turnarounds or last-minute scheduling may include a rush fee (+50–200%), depending on intensity and timing.
This structure ensures your project gets prioritized attention and faster turnaround when needed — without compromising quality.
Weekend or holiday work may also be subject to additional charges, always discussed and agreed upon beforehand.

7. Deliverables

Final deliverables are sent after full payment is received, in the agreed formats (EXR sequences, ProRes HQ, MP4, stills, etc.).
All previews are watermarked until final payment is confirmed.

This guarantees that you receive fully finalized, high-quality files — prepared, checked, and ready for public use or broadcast.

8. Licensing & Files

Upon full payment, the client receives non-exclusive commercial usage rights for the final renders.
All project source files (scenes, simulations, caches, textures, etc.) remain the intellectual property of Paul Stasik Visuals, unless otherwise agreed in writing.

This ensures both creative protection and long-term project consistency — your visuals remain safe, reproducible, and properly archived.

9. Confidentiality & NDAs

All materials, models, and product data shared during production are treated with full professional care and respect for privacy.
If confidentiality is required by the client, a mutual Non-Disclosure Agreement (NDA) can be signed before the project start.

Paul Stasik Visuals is fully open and flexible in signing NDAs — ensuring your data, assets, and product information remain secure at every stage.

10. Professional Conduct

Every project is handled with full commitment, clear communication, and respect for both creative vision and business structure.
The goal is always to deliver work that exceeds expectations — through transparent collaboration, organized workflow, and a shared dedication to quality.

Mutual trust and timely cooperation guarantee the best creative outcomes and a genuinely enjoyable process.

These terms apply to all collaborations with Paul Stasik Visuals and may be updated periodically to reflect evolving production practices.
